Administrative Assistant

Provide effective fleet management for company vehicles by scheduling and keeping track of repairs and preventative maintenance

Communicate with repair shops in scheduling repairs and shuttle vehicles to their proper locations

Make the most efficient decision regarding repairs to minimize vehicle downtime

Organize and maintain vehicle files, records, registration and mileage
-
Periodically assist HR Manager on various projects, filing and database management
-
Answer and transfer incoming phone calls
-
Compile and sort documents, invoices and receipts
-
Monitor and track company credit card transactions
-
Coordinate the set-up of office/staff work station and phones
-
Assist & support company President regarding appointments, incoming emails, letters & correspondence
-
Occasionally make travel arrangements and compile expense reports
-
Check and maintain inventory levels for office and field supplies
-
Anticipate needed supplies, place orders and verify receipt
-
Support field staff as the liaison for equipment, keys, supplies and PPE
-
Source, order and purchase office, field supplies and equipment
-
Support Project Manager in daily field staff schedule using MS Excel & Outlook programs
-
Organize meetings ensuring managers are well informed of meeting agenda
-
Assist office staff in completing reports, filing, correspondence and presentations
Job Summary
-
5 years experience working in a supportive role in a busy office environment
-
Must have intermediate MS Office experience in Excel, Outlook, WORD and Access
-
Able to multi-task to effectively support multi-departmental needs
-
Professional phone skills
-
A good understanding of scheduling vehicle maintenance is a plus
-
Good driving record
-
Must be able to pass drug screen test
